Running a successful small business requires efficiency and clear communication. In fact, it’s not that different to home organization! With over 35 years of experience in both government and private sectors, I’ve seen firsthand what works – and what doesn’t.
As a member of the Annadale, Minnesota Chamber of Commerce, I was asked to present on how organization can bring value to business owners. To put this question into perspective, I shared some personal client stories. For example, I had a government position where there were endless meetings with very little result. It felt like we were meeting just to check a box! We talked about how to reduce the number of meetings and make them more goal oriented.
On the flip side, I worked with grocery store chain where there were few meetings and poor communication. In that situation, we were able to implement some regular communication that improved processes and morale.
If you’re ready to increase productivity, reduce stress, and streamline operations, here are the most important areas to focus on, based on what I’ve seen in my work as a professional organizer:
1. Improve Business Efficiency with Better Organizing Systems
One of the most effective ways to boost productivity is to evaluate and streamline your workflows. Here are some examples of where you can do that easily.
- Identify bottlenecks in daily operation
- Simplify repetitive tasks
- Automate where possible
When your processes are efficient, you’ll notice:
- Faster decision-making
- Quicker project completion
- Less employee frustration

2. Strengthen Communication for Better Team Performance
Clear communication is one of the most overlooked productivity tools in business. You can improve communication by:
- Holding regular (but purposeful) meetings
- Creating and sharing agendas with clear and realistic goals in advance
- Encouraging active listening during the meeting
- Starting and ending on time
This Forbes article on effective communication in the workplace gives some great tips on the topic. From experience, I’ve seen two extremes, both of which create unique challenges:
- Too many meetings (wasting time)
- Not enough communication (causing confusion)
The goal is a balanced approach where communication supports productivity instead of draining it.

3. Organize Your Workspace to Reduce Stress and Save Time
A cluttered workspace leads to a cluttered mind! When your environment is disorganized:
- Your brain perceives all unfinished work as looming but unclear
- Stress levels increase
- Focus decreases
When your workplace is clear, the result is often:
- A more realistic understanding of tasks
- Improved time management skills
- Reduced stress
- Increased focus and clarity
Another one of the biggest time-wasters I’ve witnessed is looking for misplaced items. Taking time to organize upfront saves hours later! I suggest that you limit “aspirational clutter” like unread magazines, journals, or stacked paperwork. If you haven’t read it yet when will you in the future?

4. Reduce Business Expenses by Eliminating Waste
Disorganization also leads to unnecessary spending. Common cost leaks I see often are:
- Unused software subscriptions
- Duplicate tools or services
- Over-purchasing supplies
I recommend that you:
- Review expenses monthly or quarterly
- Cancel what you don’t use
- Consolidate tools where possible
This is something I also see in people’s homes – clients who pay monthly for things they rarely use. Well, the same applies to businesses!

Why Business Organization Matters
An organized business:
- Optimizes daily operations
- Improves employee satisfaction
- Increases productivity
- Supports long-term growth
- You can respond quickly to opportunities
- You reduce risk
- You make informed decisions faster
Most importantly, it creates a calm, focused, and efficient work environment – something every business owner needs and craves!
How to Build Organization in to Your Business Plan
Organization is not a one-time project, but an ongoing process. To stay on track, I recommend that you:
- Schedule regular business reviews
- Revisit systems and workflows
- Adjust as your business grows
Consistency is what keeps your business running smoothly.
